Feature Release: Checklists
BY IT GLUE | June 19, 2018
Incomplete documentation isn’t just ineffective, it’s a major source of time waste. But how do you ensure that every organization in IT Glue is fully documented, every time?
Our partners provide us with regular feedback about how they use IT Glue, and one of the things we hear most often is that documentation is a process. To truly maximize the value of documentation, it is essential that your documentation is kept up to date. To help you do this, we are introducing IT Glue Checklists.
Checklists allows users to create lists of actions items, known as Tasks, within an organization and then assign them to specific team members. Until now, it’s been up to you to manage the completeness of your documentation. Whether that’s chasing around your staff to get them to finish a task, or realizing weeks later that nobody’s remembered to update a particular organization’s contact information – Checklists provides a better way.
The principle behind Checklists is to adopt functionality similar to management tools like Asana, Trello or Basecamp, and build this into your documentation. By assigning tasks related to the maintenance of documentation, you are taking a proactive approach to documentation best practices. Take a look:
Using Checklists, you can identify any organizations in IT Glue that are missing crucial information, and easily select the person responsible for filling that information in. Due dates can be set, to keep your team on target. Not only does this ensure that your documentation is complete and effective, but it provides you with visibility into the entire process of what needs to be completed.
To streamline the process of building checklists, you are able to create Checklist Templates. This way, for common tasks (e.g. workstation setup), you can re-use the same template each time. You’ll be able to modify templates, or create new tasks from scratch.
When your documentation is being perpetually managed, you reduce the likelihood of errors due to missing information, and the time associated with trying to fix the mess. You also eliminate the risk of several people trying to complete the same task, or worse, a task being left incomplete because nobody knew it was their responsibility.
Checklists makes managing your documentation a whole lot easier, and more effective. Check out our Knowledge Base and get started optimizing your efficiency today.
